Description
Position Summary:
Primarily responsible for assisting the Accounts Receivable/Payable and Homeowner Billing Departments with daily tasks.
Position Responsibilities
- Process Remote Deposits for Accounts Receivable.
 - Creation and cancellation of Automatic Payments (ACH/SurePay).
 - Maintains and up keeps accurate data in the company data base.
 - Research/locate deeds and liens on various websites.
 - Mailing/emailing of documents daily.
 - Digital recording of documents to the County Recorder’s.
 - Sort, scan and distributes mail/documents daily.
 - Data entry of various documents into company data base.
 - Creating new vendors in company data base.
 - Update vendor insurance information in company data base.
 - Electronically filing documents as needed.
 - Assist Community Services (Small Claims) Supervisor as needed.
 - Creating/maintaining spreadsheets for department.
 - Scanning Invoices for Accounts Payable
 - Assists Department with special projects as needed.
 - Performs other administrative duties as directed by Department Manager.
 
Knowledge, Skills, And Abilities
- Ability to multitask, prepare and process large amounts of billing items while being detail oriented.
 - Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
 - Exceptional organization and tracking skills.
 - Ability to function efficiently in a high volume, fast-paced environment.
 - Ability to proficiently utilize computer programs and accounting database systems, including Microsoft office, internet and e-mail systems.
 - Ability to interact and work positively and effectively with staff at all levels.
 - Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
 - Ability to work collaboratively and cooperatively within the department as well as with other departments.
 
Physical Demands & Work Environment
- Primarily sitting at workstation utilizing a computer in an office setting.
 - May be required to lift boxes, fill paper trays, and other minor physical office related tasks.
